Beware of Housing Scams

Improper solicitation of hotel reservations from any company other than Maritz/MGE is not approved. Reservations made by unaffiliated organizations may appear to have lower rates, however, they may be illegitimate, not have the rooms to sell, have unreasonable cancellation or change penalties, or be completely non-refundable. Please be aware of, and report any unauthorized solicitation to aharris@ascb.org If someone other than Maritz/MGE, on behalf of the ASCB, contacts you via email, phone, or fax, please do not provide your personal information, especially your credit card number. If you provide your credit card information to one of these companies (commonly referred to as “pirates” or “housing/registration bandits”), your credit card may be charged and you might not have a hotel room when you arrive in Washington, DC.

Reservations and Changes After November 10

The Official Housing Block for Cell Bio 2022 housing is now closed. Changes and cancellations to your existing reservation(s) must be communicated directly with your designated hotel(s) beginning Monday, November 14, 2022.

If you are in need of a new reservation, you many contact aRes Housing System (a third party travel service) for citywide hotel availability at non-conference rates.

A few things about aRes and using this services:

  • This service is external from the Cell Bio 2022 Housing service.
  • You will receive a confirmation for your hotel reservation directly from aRes.
  • If you would like to talk to an aRes Customer Service agent, please call 877-300-6147.
  • When reserving a room via the aRes link, some hotels will require a full pre-payment of the reservation.
  • Some hotels may also have a different cancellation policy than Cell Bio 2022 cancellation. Please make sure you read all of the details prior to reserving your hotel reservation.

Official Housing Block

Designated hotels near the Walter E. Washington Convention Center have been specially selected for your stay, provided at exclusive discounted rates. Booking within the hotel block helps keeps the cost of registration from increasing each year. Book your housing during the registration process.

Cancellation Policy

Your hotel room can be cancelled by logging into your account and removing your hotel room before the housing deadline of November 9. Beginning on November 11, you can contact the hotel directly to cancel your reservation. You will need to cancel at least 72 hours before your arrival date for a full refund. If you cancel after this time, or do not show up for your reservation, the credit card used to reserve the reservation will be charged for the rate of one night hotel stay plus tax.

Hotel reservations are nontransferable.

Room Share Application

To assist with hotel expenses, which can be an expensive part of attending any meeting, the ASCB and EMBO provide a room share service for all registered meeting participants. Applications can be submitted through November 9, 2022 at 12:00 noon EST.

The room share service is intended to help attendees save meeting costs by room sharing. It is available to each registered meeting attendee who fills out the form. Once you fill out the form, you will be able to download a list of others who are interested in sharing a room.

It is the responsibility of each participant in the program to communicate with and to work out an agreement with a potential room-sharer. The ASCB’s and EMBO’s roles are strictly limited to the maintenance of the list of registrants who have signified interest in the program. The ASCB will maintain the list but does not (a) screen participants, (b) make any determination as to the appropriateness of any resulting room share, or (c) represent that any room-share which may follow use of the service will prove to be satisfactory to the participants. Please take note also of the waiver of liability which is a condition of the use of the service.

The ASCB and EMBO assume no responsibility with respect to these services and accepts no liabilities.
