Cell Bio 2026 - An ASCB|EMBO Meeting

International Travel Information

ASCB and EMBO welcome scientists from every part of the world to attend and participate in Cell Bio. Attendees are not required to present a poster to attend the meeting. We encourage international attendees to begin the visa application process as early as possible, as processing times can take several months in some countries.

Because visa approval and entry into the United States are determined solely by the appropriate government authorities, ASCB and EMBO cannot guarantee visa approval or entry into the United States.

U.S. Visa Resources

Visa Waiver Program (VWP)

Citizens from certain countries can visit the U.S. for up to 90 days without a visa under the VWP. Requirements include:

A Machine-Readable Passport (MRP)
ESTA authorization

Even with the VWP, all visitors will be fingerprinted and photographed upon arrival. Learn more about the VWP.

Passport and ETSA Registration

Passport Requirements

All visitors to the U.S. must have a valid passport. It's recommended (and sometimes required) that your passport be valid for at least six months beyond your planned travel date. Before entering the U.S., all foreign visitors are responsible for having the necessary documents, whether they're passing through or returning home.

Electronic System for Travel Authorization (ESTA)

Visitors from all foreign countries, including visa waiver countries, must register online at least three days before travel. This doesn't apply to those with valid visas. The U.S. Department of Homeland Security (DHS) uses ESTA to check visitors' eligibility to enter the United States.

Fees: $4 processing fee + $17 authorization charge (if approved)
Application: Submit online any time before travel
Validity: Generally, up to two years
Recommendation: Apply as soon as you start planning your trip

ESTA collects the same info as the paper I-94W form you'd usually fill out on your way to the U.S.

Visa Information

Apply Early for Your Visa

Cell Bio 2026 attendees should apply for visas as soon as possible. Please note:

Visa denials will not result in registration refunds.
The U.S. State Department conducts security reviews on all visa applications.
ASCB recommends applying at least six months before you need the visa.
Check with your local U.S. embassy or consulate for the earliest application date.

Processing Times

Standard processing can take up to 8 weeks.
Attendees from countries on the U.S. State Sponsors of Terrorism List should apply at least 6 months before the meeting.

Register for Cell Bio ASAP to get your customized invitation letter.
Apply for your visa at least 4 months before travel.
Include your full itinerary, including non-U.S. destinations, in your application.

Be Proactive

If you need early approval, mention this when applying.
Provide proof of your scientific status (e.g., abstract submission confirmation).
Don't wait for abstract acceptance to apply for your visa.

Prepare for Your Interview

Bring your English-language resume or CV.
Include a list of published articles and research topics.

Demonstrate Intent to Return Home

Show ties to your home country, such as:

Family connections
Property ownership
Bank accounts
Ongoing employment (bring a contract or employer statement)

Preparing for Your Interview

Make sure you have all the necessary documentation with you at your interview. You will need the following:

Valid passport
Completed visa application forms
Full trip itinerary (including non-U.S. travel)
Proof of:
- Employment status
- Reason for travel
- Financial status
- Previous U.S. visits (if applicable)
- Professional/educational status
- Visa payment
Official invitation letter from ASCB
Proof of advanced registration
Additional documents required by your local Embassy/Consulate

Visa Problems

Report Delays to the National Academy of Sciences (NAS)

If your visa application remains pending for over 60 days:

Report your case to the NAS
Complete their online questionnaire
In the "Purpose of Visit" field, be sure to include:
- The conference name: "Cell Bio 2026"

This helps the NAS identify you as a conference participant and may expedite the process.

Don't wait to report delays – it could make all the difference in getting your visa approved in time for the conference.

Application submission for Cell Bio 2026 Travel Grants will be open from August 1 - August 31, 2026.
