ABSTRACT POSTER PRESENTATION

I submitted and paid for an abstract. Do I have to register and pay separately for the meeting?

Yes, you still have to register and pay for meeting registration separately. Submission of the abstract fee does not include registration for the 2011 Annual Meeting.

Where can I view the abstracts?

Abstracts will be available online at www.ascb.org/meetings three to four weeks before the meeting. The onsite viewing areas for previewing abstracts online are located outside the entrance to the Exhibit Hall. There will also be one ADA-compliant kiosk.

Where will the poster sessions be held?
The poster sessions for early and late abstracts will be held in Exhibit Halls A, B, E, and F Sunday-Tuesday.

How do I know when and where to present my poster?
All poster presenters will be notified on October 3, 2011, of their presentation date and time. Those who have submitted late abstracts will be notified on November 1, 2011.

What do I need to bring to set up my poster on the board?
Push pins and/or Velcro.

How do I know which poster board is mine?
There is typically confusion when placing posters on assigned boards. To help clarify this issue the ASCB has assigned all poster boards with the letter 'B' followed by a three to four digit number to correspond with the aisle number.

Example 1: Your poster has been assigned to board 'B140'
B=Board
100=Aisle in which board is located
140=Board number to place your poster

Example 2:
Your poster has been assigned to board 'B1034'
B=Board
1000=Aisle in which board is located
1034=Board number to place your poster

Can I leave my poster or poster tube somewhere?
Posters and poster tubes are the responsibility of the author. The ASCB suggests that attendees keep their posters and poster tubes with them at all times to ensure they remain safe. Or you can leave the poster or poster tube at the Coat Check in the Registration area.

I can't attend the meeting to present my poster. What should I do?
Ask a colleague who is attending the meeting to present for you. If no one can present your poster, please contact the ASCB immediately at ascbinfo@ascb.org. We will try to place a message on your board noting that you are unable to present.

I ordered my poster printing from Mira. Where do I pick up my poster?
Posters ordered through Mira can be picked up at the Poster Pick-up counter in the Registration area.

REGISTRATION

Can I register another person?
Yes, as long as you can provide all of the necessary information and payment.

I just want to see the Exhibits. Can I just register for that?
The ASCB does not have a separate registration for exhibits only. One must register for the entire meeting. If you have questions, please contact Ed Newman, Director of Exhibits and Sales, at enewman@ascb.org.

I just want to see one talk. Can I register for that?
The ASCB does not allow registration for portions of its meeting. Anyone interested in attending one talk will have to register for the entire meeting.

I am a member of the press. Where do I register?
Press may register online at www.ascb.org/press/press1.cfm or onsite in the ASCB Newsroom located in Room 204. All press must see John Fleischman and/or Kevin Wilson.

How do I get a copy of the Annual Meeting Program?
The Annual Meeting Program will be available online at www.ascb.org/meetings approximately one month before the meeting. The Annual Meeting Program will also be available for pick-up along with your meeting badge and lanyard in the Registration area at the Colorado Convention Center.

Is there an Abstract CD-ROM?
Abstract CD ROMs will not be provided. Abstracts may be accessed online at www.ascb.org/meetings three to four weeks before the meeting.

Will I receive my badge before the meeting?
You may pick up your badge onsite at the Colorado Convention Center. All registrants will receive an email one week before the meeting. Print and bring this email with you. It will contain a bar code for you to scan to print your badge. Once you receive your badge, you will be provided with a lanyard and all meeting materials. An Onsite Addendum may be picked up from bins located in the Registration area. If for any reason you do not receive an email with the barcode before the meeting, or you misplace it, you can bring your registration confirmation instead.

I lost my badge? What do I do?

You will be able to obtain a replacement badge onsite for a fee of $15 at the Badge Replacement counter during registration hours. If you lose the second badge and need a third, you will need to re-register for the meeting and pay the onsite registration fee. A photo ID is necessary in both cases.

I have a question about my registration. Whom should I contact?
Katherine Hempel at khempel@ascb.org or 301-347-9324. Onsite, Katherine will be located at the Membership/Attendee Services counter in the Registration area.

I've registered for the 2011 Annual Meeting but unexpectedly cannot attend. May I send someone else in my place? If so, how would I go about making this substitution?
Meeting registration is nontransferable.

What is the cancellation/refund policy?
Cancellation Policy: Meeting registration is nontransferable. Meeting registration is nonrefundable after November 15. The ASCB will honor requests for refunds if they are in writing and are received by the ASCB no later than November 15. Please note that cancellations are subject to a processing fee of $20 for students and $40 for all others. No refunds will be issued for requests received after November 15.

Where can I buy a guest badge?
The ASCB does not sell guest badges. A guest is a nonscientist family member or nonscientist friend of a registered scientist. If a registered scientist would like a family member or friend to see his/her invited talk or their poster presentation, the registered scientist must contact Trina Armstrong, Director of Meetings, at tarmstrong@ascb.org and provide the date and time his/her guest would like to attend. To request a guest badge onsite, please go to the ASCB Meeting Management Office in Room 210. The guest badge will only be valid for the day selected.

Is there a place for my guest to go while I am in a meeting?
Guests are welcome to explore the Convention Center, but cannot enter meeting rooms or the Exhibit Hall without a meeting badge.

ONSITE RESOURCES

What are the exhibit hours?
Exhibit hours are: Sunday-Tuesday, December 4-6, from 9:00 am-4:30 pm. Exhibits and posters will not be open on Wednesday, December 7.

Where can I find a particular exhibit?
The location of specific exhibits is included in the 2011 Annual Meeting Program. There are also four Exhibit locator boards inside the Exhibit Hall.

How can I find out which hotel my colleague is staying at?
You may leave a message for your colleague on one of the message boards in the Message Center located near the Registration area in the Colorado Convention Center.

Where can I get a Certificate of Attendance?
You can print your own Certificate of Attendance at the "Certificate of Attendance" Counter in the Registration area of the Colorado Convention Center.

Where can I get a receipt for my registration?
An official receipt can be printed from the registration site at https://www.xpressreg.net/register/cell121/xpresstoolkit/login.asp
or you can go to the Membership/Attendee Services counter in the Registration area of the Colorado Convention Center.

Where can I pay my dues for 2012?
You may pay your 2012 dues at the Attendee/Membership Services counter in the Registration area at the Colorado Convention Center.

Where can I pick up a CME form?
The ASCB does not offer CMEs for its meeting.

Where can I check my email?

Meeting attendees who bring their own laptops can access free wireless Internet in the Convention Center. The laptop must have a wireless 802.11 b/g network card, and the SSID must be set to ASCB2011. Individuals without a laptop can check email at the complimentary Internet Cafe in the Registration area.

Where can I leave a message for a colleague?
The Message Center is located in the Registration area of the Colorado Convention Center.

Where is the Speaker Lounge?
The Speaker Lounge is located in Room 706. All Subgroup, Keynote, Symposia, Minisymposia, Translational, and workshop speakers as well as Exhibitor Showcase speakers are strongly encouraged to visit the Speaker Lounge to check their presentation and take care of any issues that may arise before their talk.

Is there a place to leave my coat and/or luggage?
Coat Check/Luggage Storage is located in the Registration area. The cost is $2 per checked item.
Note: Luggage may not be taken into meeting rooms.

Where is the Lost and Found?
Lost and Found is located in the ASCB Meeting Management Office, Room 210.

If I bring my children, are they permitted to attend educational sessions and visit the exhibits?
Children must be accompanied by a parent or a guardian during exhibit hours. Parents or guardians may bring children under the age of 17 to educational events provided the children do not disrupt the event. Badges will not be issued to children under the age of 17. Under no circumstances are children under the age of 17 allowed in the Exhibit Hall during set-up and dismantle times.

Where can I nurse my baby or change a diaper?

An Infant Lounge is located office the Registration area of the Colorado Convention Center. The room will be equipped with a table and chairs, a bathroom nearby, electricity, and a water cooler. The private lounge, available for nursing mothers and parents with infants, provides a comfortable and secure environment. Parents and guardians are responsible for providing infant care supplies. The infant lounge is unsupervised, and the ASCB is not responsible for any accidents or injuries that may occur.

How do I find someone to watch my child? Does ASCB provide any childcare?
Onsite childcare services may be available through your hotel concierge. Individual or group sitters may be arranged to provide in-room hotel childcare. Please check with your hotel well in advance of your arrival date. The ASCB assumes no responsibility with respect to these services and accepts no liabilities.

Where can I print my boarding pass?
Boarding passes may be printed in the Business Center of your hotel or onsite at the Internet Cafe of the Colorado Convention Center.

Will transportation be provided between hotels and the Colorado Convention Center?
The Society does not provide shuttle buses; however, all hotels are within a seven-block radius of the Convention Center. Attendees must make their own transportation arrangements to and from the Annual Meeting.

What is the expected meeting attendance?
Approximately 8,000-8,500

Does the Colorado Convention Center offer assistance for visitors with disabilities and special needs and whom do I contact?
If you have a disability or a special need that may affect your participation in the Annual Meeting, please check the appropriate box when registering. ASCB staff will contact you before the Annual Meeting to discuss your requirements. The ASCB cannot ensure the availability of appropriate accommodations without prior notification of need. Where are the ATMs located?
Automatic Teller Machines (ATMs) are located in Lobby B, Lobby D, and Lobby F of the Colorado Convention Center. Hotels may also provide ATMs in their lobbies.

Is a business center available for making copies, sending faxes, etc.?
